MINUTES OF THE ANNUAL GENERAL MEETING OF THE SIEGFRIED SASSOON FELLOWSHIP held on 13th October 2002 at St Luke's Church Hall, Cheltenham Attendance Present: Michle Fry President Meg Crane Vice President Deborah Fisher Secretary Sue Eagle Treasurer David Eagle Jane Gray Alan Lawson Tony Lloyd Margaret Stearn Apologies had been received from: Jane Bellinger; Neil Brand; Phil Carne; Jill Chalmers; Cathy Gill; Cynthia Greenwood; John Stuart Roberts; Dennis Silk; Ann and Anthony Thwaite. Two proxy votes had been received. In view of this, the President ruled that the meeting could go ahead despite fewer than ten members being present. Opening Remarks The President welcomed all those present, and summarised the progress made during the past twelve months. Despite the disappointment of having had to cancel the Oxford conference, plans were proceeding for a 2003 event at the National Portrait Gallery, London. Anne Harvey, who was to have been a speaker at the Oxford event, had offered assistance with the organisation. Membership had risen from 15 to 60 in the course of the year. Minutes of 2001 AGM The minutes of the 2001 AGM were agreed as a true record. Secretary's Report The Secretary raised some questions relating to the wording of the constitution, specifically the matter of the end of the financial year. After discussion, it was agreed that the date did not need to be specified within the constitution. The Treasurer expressed a preference for the end of August as the end of the financial year for 2002-2003. This could be reviewed at the next AGM. The question of the quorum was also discussed. Because there were fewer than ten members present, any member who wished to dispute a decision made by the AGM would have the opportunity to do so, but in order to do so would have to call an extraordinary general meeting, and that would also involve attendance by ten members. Tony Lloyd proposed that the constitution be amended to alter the quorum for an AGM to "ten per cent of the current membership". The proposal was seconded by Jane Grey, and was carried. Treasurer's Report The Treasurer presented the accounts for the year to the end of September 2002. The current balance in the bank was 605.97, but there were several outstanding payments to be made. It was noted that two members had approached the Secretary about the possibility of refunding expenses they had incurred as a result of the conference being cancelled, and had been unable to recover. After discussion, it was agreed to leave the final decision to the committee. Members wishing to be reimbursed would have to present receipts, and a warning should be given to those attending future events that their private arrangements were not the SSF's responsibility. The Treasurer said that she would look for an auditor to double-check the Fellowship's accounts for the year 2002-2003. All the above were elected unopposed. There were still two vacancies on the general committee, which could be filled by co-option if other members were found who were willing to help. Other Business The programme of future events was discussed. Concern was expressed at the quoted cost for hiring the National Portrait Gallery; however, it was noted that a good attendance could be expected. It was agreed that a half-day event would be appropriate. A "performance" element, eg. poetry reading, was suggested The possibility of offering refreshments would be considered. Other, more informal, events would be considered for the interim period. Margaret Stearn suggested that individuals who knew Sassoon, such as Dennis Silk, should be approached and an attempt made to gather their reminiscences. Book launch talks were another possibility. The question of nominating further honorary patrons was discussed. However, in the absence of those individuals whose names might have been put forward, no nominations were made. Concluding Remarks The President thanked members for attending, thanked the Secretary and the rest of the committee for their hard work during the past year, and declared the meeting closed.
